Spinnaker’s work spans development, construction, accounting and finance, asset management, property operations, investor reporting, insurance and risk management, and corporate operations. Halyard Building Company serves as the firm’s affiliated construction management and general contracting platform. About the Role Spinnaker is hiring an AI Solutions Engineer to help standardize, improve, and automate workflows across the organization using AI, automation, and enterprise technology tools. This is a hands-on implementation role, not an advisory or strategy-only position. The AI Solutions Engineer will work directly with senior leadership and department owners to understand how work is currently performed, identify inefficiencies and inconsistencies, and implement practical solutions that improve execution, reporting, coordination, and access to information. The role will focus on applying existing AI platforms, workflow automation tools, integrations, and structured processes across development, construction, accounting, asset and property management, investor relations, and corporate operations. In some cases, this may include configuring AI assistants, agents, or lightweight custom workflows, but the primary objective is to improve and standardize how work gets done rather than build proprietary AI systems from the ground up. This role reports to the Chief of Staff and works closely with senior leadership, department heads, Halyard Building Company, and the firm’s external technology partners. What You’ll Do Partner with department leaders and process owners to document existing workflows, identify gaps, and establish more consistent operating procedures. Translate manual, informal, or fragmented processes into clear, repeatable, and supportable workflows. Configure and implement solutions across platforms including Claude, OpenAI, Microsoft 365, SharePoint, Copilot, and Power Automate. Improve utilization of Yardi and Yardi Virtuoso across accounting, reporting, property operations, investment management, and other relevant business functions. Support the implementation and enhancement of Yardi Smart AP, including invoice intake, coding, approvals, exception handling, payment follow-up, and reporting. Improve accounting processes including accounts payable, accounts receivable, budget-to-actual reporting, job-cost reporting, cash management, month-end close, audit support, and financial statement preparation. Develop solutions that help employees identify approval delays, coding issues, budget variances, outstanding invoices, and other exceptions requiring follow-up. Improve tax-return workflows for corporate entities, properties, joint ventures, and investment vehicles, including document collection, checklist management, status tracking, open questions, review comments, deadlines, extensions, and final deliverables. Support process improvements related to K-1 preparation and distribution, composite tax filings, withholding requirements, investor tax documentation, and recurring entity-level tax requests. Develop and manage integrations between AI tools and core systems including Yardi, SharePoint, Outlook, Microsoft 365, and internal file infrastructure. Use APIs, webhooks, structured and unstructured data, document repositories, and secure data pipelines to reduce duplicate data entry and improve information flow. Support workflow improvements across development reporting, project tracking, construction reporting, scheduling, plan review, bid leveling, property performance, lead tracking, tenant follow-up, marketing, investor reporting, insurance, and executive coordination. Create reusable templates, prompts, workflows, and guidance that employees can apply consistently. Establish testing procedures, human-review points, exception handling, documentation, and change-management practices for new solutions. Coordinate with the firm’s managed service provider, vendors, and consultants on permissions, security, access controls, and system implementation. Train employees on approved tools and standardized workflows and gather feedback to improve usability and adoption. Evaluate new AI, automation, and enterprise technology tools based on business value, security, cost, and compatibility with the firm’s existing systems. What You Bring 3-5+/- years of professional experience in systems integration, automation, software engineering, technical consulting, AI operations, business systems, or a related technology role. Experience implementing AI-enabled tools, workflow automation, enterprise systems, or process-improvement solutions in a business environment. Experience with platforms such as Anthropic, OpenAI, Microsoft Copilot, Azure AI, or comparable AI systems. Strong working knowledge of workflow automation tools, system integrations, enterprise applications, and scripting. Proficiency in Python, JavaScript, or a comparable programming language. Experience working with APIs, webhooks, databases, enterprise data sources, document repositories, and permission-controlled systems. Ability to understand a loosely defined business process and turn it into a clear, reliable, and repeatable workflow. Strong testing, troubleshooting, process-mapping, and documentation skills. Comfort operating independently in a lean environment where you are expected to scope, implement, document, train, and support your own work. Strong communication skills and the ability to make technical systems understandable and useful to non-technical colleagues and senior executives. Sound judgment when working with confidential business, financial, employee, investor, tenant, and tax information. Preferred Experience Experience with Yardi, Yardi Virtuoso, Yardi Smart AP, or another real estate accounting, property management, or investment-management platform. Experience improving accounting workflows, financial reporting, accounts payable, audit support, or tax-return coordination. Experience with Microsoft 365, SharePoint, Power Automate, Copilot, Azure, and enterprise identity and permissions. Exposure to real estate development, construction, property management, accounting, investment management, or financial services. Experience with process mapping, workflow redesign, change management, and user training.
