Our client - a global professional services firm with a growing presence in the US - is looking to hire an experienced and highly professional Executive Assistant to support their Chief Financial Officer. This is an excellent opportunity to join a market leading organisation and work closely with senior leadership in a fast-paced, international environment. Initially based in a central WeWork, the business will be moving to fabulous permanent office space near Times Square in early 2027 and the new EA will be expected to be an involved part of that move. The successful candidate will be a proactive and capable Executive Assistant with previous experience supporting C-suite executives. They will be comfortable managing multiple priorities, navigating complex stakeholder relationships, and operating with a high degree of discretion and professionalism. We are looking for candidates who have a proven track record of success working autonomously, are comfortable in ever changing environments, and are happy to be primarily office based with some flexibility to work from home. Key Responsibilities Manage complex diaries, schedules, meetings, and appointments to ensure effective time management. Prepare and coordinate reports, presentations, correspondence, and other business documentation to a consistently high standard. Support board and governance-related activities, including the preparation and coordination of meeting materials. Assist with the planning and execution of leadership events, team meetings, town halls, and offsite sessions. Act as a key point of contact, proactively resolving issues and supporting executive priorities. Coordinate and prioritise requests from senior stakeholders and executive offices. Arrange domestic and international travel, including itineraries, accommodation, visas, and logistics. Welcome and host external visitors, ensuring a professional and positive experience. Manage email and telephone communications, prioritising urgent matters and responding to routine enquiries where appropriate. Take accurate meeting minutes, monitor action items, and ensure timely follow-up. Process expenses, invoices, and departmental administration. Provide occasional support with personal administrative matters where appropriate. Build strong working relationships with internal teams and external stakeholders. Maintain the highest standards of professionalism, accuracy, and confidentiality at all times. Skills and Experience Significant experience in an Executive Assistant role supporting C-suite executives. Experience working within complex, matrixed organisations. Background in financial services, insurance, professional services, or another corporate environment is advantageous. Excellent organisational and prioritisation skills with the ability to work independently. Exceptional attention to detail and commitment to producing high-quality work. Proven ability to handle confidential and sensitive information with discretion. Strong communication and interpersonal skills, with the confidence to engage at all levels of an organisation. Experience managing complex stakeholder relationships and executive communications. Ability to work flexibly across international time zones. Additional language skills would be advantageous.
