The STAR Family Health Team provides comprehensive primary health care services to two clinics in Stratford, and one clinic to serve Tavistock and Region (STAR). It consists of a dynamic forward-thinking group of family physicians, nurse practitioners, nurses, mental health workers, dietitian's, and pharmacists, all supported by a committed and experienced administrative staff. Description: We are seeking a full-time Office Administrator to work collaboratively with all members of our multidisciplinary team and community partners. Reporting to the Executive Director, you will be based in Stratford and will serve as an integral member of the interdisciplinary team, providing executive and corporate administrative support, as well as a broad range of operational, project, and logistical support to the day-to-day operations of the Family Health Team. In this highly collaborative role, you will coordinate and support a variety of corporate, operational, and patient-facing administrative functions that contribute to the efficient delivery of primary care services. Responsibilities include, but not limited to, coordinating new patient registration and onboarding processes, supporting a positive patient experience through responsive administrative service, maintaining corporate records and documentation, coordinating organizational calendars and key deadlines, supporting mandatory reporting and quality improvement activities, assisting with financial and office administration processes, and providing administrative support to the Executive Director. You will work closely with clinical and administrative staff to ensure effective communication, consistent workflows, and the smooth coordination of daily operations while exercising sound judgment, discretion, and exceptional organizational skills. Qualifications: · Diploma or degree in Office Administration, Business Administration, Health Administration, or a related field, or an equivalent combination of education and experience. · Minimum of three (3) years of progressively responsible administrative experience, preferably in a healthcare, primary care, not-for-profit, or public sector environment. · Demonstrated experience coordinating multiple priorities, projects, and deadlines in a fast-paced environment with a high degree of accuracy and attention to detail. · Knowledge of office administration, records management, document control, and organizational processes. · Experience coordinating meetings, preparing agendas and minutes, maintaining calendars, and supporting governance or committee activities is considered an asset. · Excellent interpersonal, customer service, and communication skills, with the ability to build positive working relationships with patients, providers, staff, Board members, and community partners. · Demonstrated ability to exercise sound judgment, discretion, and maintain confidentiality when handling sensitive information. · Strong organizational, problem-solving, and time management skills with the ability to manage competing priorities independently. · Advanced proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint, and the ability to learn new software applications quickly. · Experience with electronic medical records (EMRs), patient registration processes, or healthcare information systems is a must. · Knowledge of Ontario's primary care environment, Family Health Teams, and applicable privacy legislation, including the Personal Health Information Protection Act (PHIPA), is considered an asset. · A commitment to collaboration, continuous quality improvement, equity, diversity, inclusion, and patient-centred care.
