UFORCE exists to make aggression unaffordable. Founded in Ukraine and headquartered in London, UFORCE is a defence-technology company with operations across Europe, the United States and Asia. UFORCE builds uncrewed vessels, ground robotics and aircraft, autonomy software, and the command-and-control layer that operates them together. Each platform is deployable on its own, and stronger as part of the system. Its product lines include the MAGURA family of uncrewed surface vessels, the NEMESIS family of strike platforms, the LIUT family of ground robotic platforms, and counter-UAS systems. About the Role We're hiring a Senior Payroll and Benefits Specialist to own payroll processing and compliance for our workforce across the US and Europe. You will be the main contact between the company and our US EOR provider and international payroll advisors (UK, US, Poland, Portugal, Estonia, Germany). For European entities that run payroll locally, you will receive their payroll data, keep one accurate record of who sits on which entity's books, and consolidate it into group-level reporting. You will also own benefits administration, the annual renewal cycle, and pensions in every country where we operate. The job covers more than processing. You will run live payroll cycles accurately and also improve how payroll works: writing SOPs, tightening controls, consolidating reporting, managing providers, and supporting audits. Over time you will reduce our reliance on third-party providers by moving payroll onto our in-house platform in each country where we hold a local entity, including setting up payroll for a separate US entity on its own system ahead of a planned handover to local ownership. You will work closely with People, Finance, payroll providers, benefits brokers, pension providers, and auditors, and you will be the person employees go to for fast, accurate answers on pay, pension, and benefits. The role is UK-based. Responsibilities Run UK and US payroll cycles from start to finish: validate all inputs (new hires, leavers, salary changes, bonuses, commissions, time off), review every payroll register, and coordinate with the US EOR and international payroll advisors. Act as the main contact for European entities that run their own payroll: receive monthly payroll data, reconcile it against HRIS headcount, and keep a single accurate record of who sits on which entity's books. Own statutory filings and tax portal access for UK and US payroll, and produce consolidated group payroll reporting to support month-end close, accruals, reconciliations, and audit. Administer benefits and pension schemes in every country: enrollments, changes, leaver removals, entity transfers, reconciliations to payroll and provider invoices, and the annual renewal cycle with brokers and providers. Move payroll onto our in-house platform in each country where we hold a local entity, covering statutory registration, data migration, parallel running, and cutover. Set up and run payroll for a separate US entity on its own system ahead of a planned handover to local ownership. Build and maintain the payroll operating rhythm (calendars, SOPs, controls, knowledge-base materials) with regular audits across payroll, HRIS, benefits, and provider data. Hold external providers and country contacts to agreed timescales, and resolve discrepancies before they reach an employee's pay. Answer employee questions on pay, pension, and benefits quickly, accurately, and confidentially, against a published response standard. Requirements Must-have: Direct coordination of EOR providers, payroll advisors, or local payroll contacts across multiple countries. You hold providers to deadlines, check their outputs, and consolidate data into a reliable group view. You have owned UK payroll cycles from start to finish, have credible US payroll exposure (direct processing, EOR coordination, or advisor management), and have reconciled payroll against HRIS or entity data across several countries. Benefits and pensions administration experience, including enrollments, leavers, provider invoices, payroll deductions, UK auto-enrollment, member data, and annual renewals. Payroll migration or entity setup experience: you have supported or led a move from an external provider or EOR to in-house processing (statutory registration, data migration, parallel running, cutover, provider exit), or set up payroll for a new entity. You have built payroll systems, processes, controls, calendars, and documentation from scratch or in a very immature environment, and can turn compliance requirements into workflows that hold up under live payroll deadlines. Experience producing payroll reporting for Finance and supporting close, accruals, reconciliations, and audit, with strong documentation and control discipline. Strong vendor coordination: you hold external partners to timelines, challenge discrepancies, and escalate constructively across time zones and jurisdictions. Strong Excel or Google Sheets skills and fluency across payroll, HRIS, benefits, and accounting systems, with close attention to data accuracy. Bachelor's degree, or equivalent experience, in Accounting, Finance, HR, or a related field. Proficiency in English required. Nice-to-have: Experience with commission and bonus calculations. Experience running a payroll migration from an external provider to in-house processing yourself. Experience in high-growth, multi-entity, multi-country environments. The nature of combat has changed. Tomorrow's battlefield success depends on autonomy, speed, and adaptability. And UFORCE is ready. Are You? Swarm Aero is redefining air power, building the largest swarming UAV and the most versatile swarming aircraft network in the world. The company is moving quickly to launch the first aircraft designed specifically for swarming, as well as the Command & Control software to mobilize swarms of thousands of heterogeneous autonomous assets and empower human operators to achieve superhuman results. The team has created and exited multiple startups, negotiated defense deals worth billions of dollars, and designed and built 30+ novel aircraft, with aerospace experience from Scaled Composites, Airbus, Archer Aviation, Blue Origin, and Boom Supersonic. The Role Great technology loses to good technology that reaches the customer first. You'll hire the people who make sure ours gets there, and the people who keep the company running while it scales. This seat owns hiring for Mission and defense business development, business operations, finance and accounting, real estate, and marketing. The searches are fewer, but every one of them matters. Many are the first hire in a function: the finance leader who takes us into our next stage, the real estate lead who helps stand up a new facility, the capture and program people who put our aircraft and software in front of the warfighter. We treat them like the high-stakes searches they are. The Work Own full-cycle hiring across Mission, business operations, finance and accounting, real estate, and marketing Recruit defense BD, capture, program, and mission roles with real credibility, and know where those people come from: primes, defense tech startups, the Pentagon, and the operational force Run senior and first-of-kind searches like an executive search partner: map the market, calibrate early, and close hard Be the advisor first-time hiring managers didn't know they needed. Challenge the role when it's wrong and help define what great looks like Build relationships with future leaders before we need them, so the next search starts warm Convince exceptional people who never pictured themselves in defense that this is the most important work they'll ever do You Have [5+] years of full-cycle recruiting experience, including senior or executive-level searches Have recruited in or around defense, government, or national security, and know the difference between BD, capture, and program management Have closed candidates who had other options, including at the leadership level Earn hiring managers' trust by telling them the truth about the market, even when it's not what they want to hear Love range. A controller, a head of marketing, and a defense BD lead in the same week sounds like a good week to you Bonus Points Executive search or agency background paired with in-house startup experience A network in the defense BD, capture, or military community Experience hiring finance, real estate, or marketing leaders at a scaling company Military service or experience recruiting veterans and transitioning service members Why This Seat You'll build the teams that take our technology to the fight, and the teams that keep us standing while we grow. How We Recruit We're a small recruiting team building a defense company that has to win. Here's how we operate, and we hire recruiters who already work this way. The Standard. We know the work deeply. We are not generalists hiding behind job descriptions; we study the engineering, the domain, and the landscape until we can hold a real conversation with a practitioner. Every candidate who talks to us should call it the best recruiting experience of their career, and we each bring our own personality to get there. High touch, never scripted. How We Think. One foot old school, one foot forward: we're obsessive about the fundamentals of recruiting and restless about finding better ways to do it. We play the long game and hire for what someone will do in two and five years, not just next quarter. And we'd rather define the industry standard than follow it. How We Operate. Mission first, always. Speed is a competitive weapon, and we use it. Quality over comfort: we'll have the harder conversation with a hiring manager before we'll make the easy hire. If that reads like a description of how you already work, we want to talk. ITAR requirement To conform to U.S. Government export regulations, applicant must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State. Swarm Aero is an equal opportunity employer. We value diverse backgrounds and experiences and make employment decisions without regard to race, religion, national origin, gender, sexual orientation, age, veteran status, or disability. What We Offer Meaningful equity in a high-growth defense technology company Competitive base salary commensurate with experience Medical, dental, vision, and 401k PTO and paid sick leave Monthly wellness stipend Daily catered lunch (office) Paid parental leave Direct impact on a critical national security mission A world-class team of engineers and operators solving genuinely hard problems Compensation: $130K – $180K • Offers Equity • $130K – $180K • Offers Equity Find Jobs in Germany on Arbeitnow

About Refractal Refractal is an AI security company building the infrastructure organisations need to defend against autonomous AI threats. 2026 has shown that generally capable intelligence is here. The challenge now is modernising security to stop AI-enabled threats, whether they come from internal agents going rogue or from attackers using AI to become more dangerous. Refractal was founded on cybersecurity and AI expertise from MIT, Microsoft, NASA and the U.S. Navy. Our product lets organisations detect AI-enabled threats at low cost without sacrificing detection quality. We take a practical approach to AI risk, combining proven cybersecurity methods with frontier AI security research. Today, we work with governments and organisations that can't afford to get security wrong. We're backed by leading deep-tech and cybersecurity investors and are growing the team to deliver on this mission. The role You'll own the operations that keep Refractal running as it grows across London, Podgorica and the United States. You'll be responsible for finance operations, people operations, legal and compliance administration, and the systems that connect them, so the founders and the team can focus on customers and product. It's a hands-on role for someone who likes building processes and then running them well. What you'll do Run day-to-day finance operations with our accountants, including invoicing, supplier payments, expenses, payroll inputs, month-end close and the reporting the founders and board rely on. Own people operations from offer to first day: contracts, payroll and benefits setup, visa and relocation logistics, equipment and system access, and an onboarding plan that helps new joiners contribute quickly. Coordinate legal and compliance administration with our advisers, including contract workflow, company and statutory filings, insurance, and the evidence needed for security certifications and customer due diligence. Keep policies, payroll and suppliers consistent across our London, Podgorica and United States teams while meeting local requirements in each country. Select, set up and maintain the internal tools and suppliers the company depends on, with clear costs, access and ownership. Manage the office, travel and events, including logistics for customer visits, conferences and team gatherings. Success in your first six months Finance, payroll and onboarding run on a predictable schedule, with clear owners and no surprises at month-end. New joiners in every location have their contract, equipment, access and first-week plan ready before they start. You've documented the core operating processes and taken routine administration off the founders, and colleagues know who owns what and where to find it. About you: essential Experience running operations at a growing company, ideally an early-stage technology business, with ownership of several functions rather than one. Working knowledge of UK finance operations, payroll and employment administration, and the confidence to learn how they work in other countries. Strong organisation and attention to detail, with a record of keeping many workstreams moving without dropping commitments. Clear, concise writing and confident communication with colleagues, advisers, suppliers and candidates. Discretion and sound judgement when handling confidential financial, legal and personal information. Nice to have Experience supporting a company with teams in more than one country, including visas and international payroll. Familiarity with security certifications such as Cyber Essentials Plus or ISO 27001, or with supplier onboarding for government and regulated customers. Experience with finance and HR platforms such as Xero, Deel or Rippling. An interest in cybersecurity, AI and the organisations that depend on secure technology. Our values Radical transparency. We believe the best work happens when everyone feels able to give and receive honest, constructive feedback. Public service. We see AI security as a form of public service. Getting the AI transition right means putting the right infrastructure in place to manage the threats that come with it, and our work helps protect the institutions and services society depends on. Fail fast. We test ideas early, seek feedback and learn quickly. We experiment rapidly and change course when something isn't working, without compromising on security. Pragmatism, not dogmatism. We choose approaches based on how well they solve the problem. That means combining established cybersecurity methods with frontier AI research, questioning our assumptions, and changing our minds when the evidence changes. Compensation and benefits Salary: £55,000–£100,000 Competitive equity to share in Refractal's growth Pension contribution Private medical and dental cover Visa and relocation support Compensation: £55K – £100K • Offers Equity • £55K – £100K • Offers Equity Find more English Speaking Jobs in United Kingdom on Arbeitnow
